PROCESSING YOUR PERSONAL DATA


What personal data we process

We process basic information about our website visitors which is related to your geolocation details such as country and town of your server / proxy, IP address, operating system and browser. These statistics will not include information that can be used to identify any individual. Such information is anonymous and held on a temporary basis.

By submitting your data you consent to the use of that information as set out above. Where personal data is requested through forms, such data is only used for the purpose stated on the form and will not be given or sold to any third parties.

This site uses Google Analytics to analyse website traffic data. You may opt out by using the Google Analytics Opt-out Browser Add-on found here.

This privacy policy covers this web site. Websites linked to from this site are not covered by this policy. Segna will at all times comply with the requirements of the Data Protection Act 1998.

If you have contacted us by email or requested information with the contact form, we store your name and surname and your email address as advised by yourself.

Depending on whether or not we also do work for you, we will also process information as provided by yourself to provide our services.


How we process your personal information

The processing of your data is carried out electronically.

Our website is run on the wordpress.com platform on whose security we mainly rely for our visitors’ data processing.

WordPress.com signup and login services are completed through a secure server (MySQL).

Wiordpress.com uses cryptography hash functions to protect your information.

WordPress.com is certified under the EU-US Privacy Shield Framework and the Swiss-US privacy Shield Framework as set forth by the U.S. Department of Commerce, regarding the collection, use, and retention of personal information transferred from the European Union and Switzerland to the United States, and therefore adheres to the Privacy Shield Principles.

WordPress uses servers based all over the world, including Europe and the US, and also has back-up servers.

It is our policy to not store any data on our local computers but, for your peace of mind, be advised our computers and laptops are encrypted with Windows-provided Bitlocker.

Our email accounts are run with web-based services one.com and google mail, which are protected with appropriately enhanced credentials.

All outbound messages are encrypted with TLS technology.

As a further measure, any documents containing confidential or important personal information shall be emailed in non-editable format, such as PDF, and protected with a password to be provided to you via a different communication channel.

Purpose and legal bases for processing your personal data

From time to time we may send special offers or reminders which we think may interest you. To do this we keep your contact details, as provided by you, in our mailing list. In accordance with the GDPR, we are required to obtain your clear and unequivocal consent to us keeping you in our mailing list. You are free to give or not give consent to this for whatever reason. In the event you should withdraw your consent, we must respond to your request within one month.

If however we also do work for you, processing your personal data is essential so we can provide our services and comply with our statutory requirements. The legal bases upon which we process your data are then connected to the performance of our contractual obligations and our compliance with statutory / legal requirements. In such cases, please be advised that the consent will not be applicable any longer as we process your data on the latter legal bases.

The purposes for which personal information is processed may include any or all of the following (the list is non-exhaustive)

  • deliver services and meet legal responsibilities
  • verify identity where this is required
  • communication by post, email or telephone
  • maintain records
  • prevent and detect crime, fraud or corruption

In the event you do not wish to give us certain personal information please note this may affect the way our services are provided or it may make it impossible for us to perform our services altogether.

Should you want us to delete your personal data, we will be willing to delete all those which we are not required to keep for a statutory or a contractual obligation.

How long we retain your personal information for – our statutory obligations

We undertake to process any personal data and documents with the due care and for the only purpose of performing this Agreement and complying with specific legal / statutory requirements to which we may be subject.

The said data shall be stored for the strictly necessary period of time unless specific legal or statutory obligations provide a minimum number of years for keeping such data.

Who we share your personal information

Your details are processed through the WordPress web portal as outlined above and the details of all subscribers to our mailing list are also saved on our business onemail account.

If we also provide services for you, your details are stored on our email addresses providers as outlined above and on the software cloud platform we use to carry out our work.

We do not share your data with marketing or advertising companies.

How we use your information to make automated decisions

We do not make automated decisions about your personal data.

YOUR RIGHTS

Access to your information

You have the right to request a copy of the personal information about you that we hold.

Correcting your information

We want to make sure that your personal information is accurate, complete and up to date and you may ask us to correct any personal information about you that you believe does not meet these standards.

Deletion of your information

You have the right to ask us to delete personal information about you where:

  • You consider that we no longer require the information for the purposes for which it was obtained.
  • In the case we use your consent to process your personal data and you have withdrawn your consent – see Withdrawing consent to using your information below.
  • You have validly objected to our use of your personal information – see Objecting to how we may use your information below.
  • maintain records
  • Our use of your personal information is contrary to law or our other legal obligations.

Kindly note that we will not be able to delete those data which we are required to keep for statutory obligations as mentioned further above.

Data portability

You have the right to have your personal data portable to any other party to which you may wish us to transfer your data to.

Objecting to how we may use your information

You have the right at any time to require us to stop using your personal information for direct marketing purposes. In addition, where we use your personal information to perform tasks carried out in the public interest then, if you ask us to, we will stop using that personal information unless there are overriding legitimate grounds to continue.
